Job Title: IVMS Officer

Reports To: Journey Management Planner
Job Purpose
The IVMS Officer is responsible for the effective monitoring, control, and administration of
the company’s fleet through the In-Vehicle Monitoring System (IVMS). The role focuses on
real-time fleet tracking, journey management support, fuel monitoring, driver performance
management, vehicle compliance, maintenance coordination, and transport operational
efficiency. The position ensures that all fleet assets operate safely, efficiently, and in
compliance with company policies and regulatory requirements
Responsibilities
Fleet Tracking and Journey Management
• Monitor and track the daily movement of the fleet through the IVMS platform.
• Ensure all vehicles are deployed according to approved journey plans.
• Monitor vehicle locations, trip progress, transit times, and delivery schedules.
• Identify, investigate, and report route deviations, unauthorized movements,
excessive idling, and operational exceptions.
• Support the Journey Management Planner by ensuring adherence to approved
journey management procedures.
• Provide real-time fleet visibility and operational status updates to relevant
stakeholders.
• Maintain accurate fleet movement records and generate daily tracking reports.
Deployment Monitoring
• Monitor the timely deployment of trucks and equipment according to operational
requirements.
• Track vehicle dispatch and arrival times to ensure efficient utilization.
• Ensure all journeys are initiated, monitored, and completed in line with company
journey management standards.
• Escalate delays and operational disruptions to the relevant departments for
immediate action.
Loading, Offloading, and Border Monitoring
• Monitor truck turnaround times at loading and offloading points.
• Track border crossing activities and identify delays affecting delivery schedules.
• Communicate operational delays to transport operations, logistics teams, and
customers where required.
• Maintain records of loading, offloading, and border performance metrics.
• Recommend corrective actions to reduce downtime and improve fleet efficiency.
Driver Documentation and Compliance Management

• Ensure drivers upload all required trip-related documents into the company’s fleet
management systems within specified timelines.
• Verify the accuracy and completeness of submitted documents.
• Follow up on outstanding documents and compliance requirements.
• Maintain electronic and physical driver records where applicable.
Driver Performance and Behaviour Monitoring
• Monitor driver behaviour through IVMS and telematics reports, including:
• Prepare daily, weekly, and monthly driver performance reports.
• Escalate safety violations and non-compliance issues to management.
• Support driver coaching and continuous improvement initiatives.
Fleet Utilization Management


• Monitor fleet utilization and vehicle productivity.
• Identify underutilized vehicles and recommend optimization measures.
• Analyze fleet performance and provide utilization reports to management.
• Ensure maximum operational efficiency of fleet assets while minimizing downtime.
Fuel Management
• Monitor fuel issuance for all approved trips.
• Track fuel consumption against approved allocations and vehicle performance
standards.
• Investigate fuel variances, anomalies, and potential misuse.
• Prepare fuel efficiency and fuel utilization reports.
• Support initiatives aimed at reducing fuel consumption and operating costs.
• Maintain accurate fuel records and reconciliation reports.
Vehicle Maintenance and Repairs Management
• Maintain comprehensive vehicle maintenance and repair records.
• Monitor preventive maintenance schedules and ensure timely servicing.
• Coordinate with workshops and maintenance providers to minimise vehicle
downtime.
• Track breakdowns, repair progress, maintenance costs, and service history.
• Ensure all vehicles remain roadworthy and operationally fit.
Vehicle Records and Regulatory Compliance
• Maintain and update all vehicle records and fleet databases.
• Ensure the validity and timely renewal of:
• Vehicle registrations
• Insurance policies
• Road licenses
• Inspection certificates
• Transport permits
• Any other statutory documentation
• Monitor compliance requirements and ensure all fleet assets remain legally
compliant.

• Generate compliance reports and notify management of expiring documents well
in advance.
Special Permits and Cargo Compliance
• Coordinate and monitor the acquisition and validity of special permits required for
transportation activities.
• Manage applications and tracking of:
• Out-of-Gauge (OOG) permits
• Abnormal load permits
• Special cargo permits
• Cross-border transportation permits
• Regulatory approvals required for specialized cargo movements
• Ensure permit compliance before vehicle dispatch.
Reporting and Data Analysis
• Develop and maintain fleet performance reports and dashboards.
• Prepare daily, weekly, and monthly reports
• Analyze fleet operational data and provide recommendations for performance
improvement.
• Utilize advanced Microsoft Excel tools to generate meaningful operational insights.

Person Specification
Education, Training,
Skills & Experience
Education
• Bachelor’s Degree or Diploma in any of the following fields: Logistics and Supply
Chain Management, Transportation Management, Automotive Engineering,
Mechanical Engineering, Logistics Operations, Fleet Management
• Any other related discipline
Experience
• Minimum 3 years’ experience in Fleet Management, Transport Operations, or IVMS
Administration.
• Proven experience managing and monitoring a large commercial fleet using an
IVMS platform.
• Hands-on experience in vehicle tracking, journey management, transport
compliance, and driver performance monitoring.

• Experience within logistics, transportation, mining, oil & gas, FMCG, or large-scale
fleet operations will be an added advantage.
Added Advantage
• Previous experience working with MiX Telematics or similar fleet telematics
systems.
