POSITION SUMMARY:
Rainforest Alliance is looking for a committed and engaged Senior Associate, Finance and Administration. The Senior Associate, Finance and Administration will work in close collaboration with global accounting, HR and Compliance teams to provide financial, administrative, compliance, HR and logistical support to the team in Uganda.
You will perform a set- of specific tasks, following global guidelines and procedures. You will support us in managing its financial records, payments, and administrative operations. You will record financial transactions, run administrative processes smoothly, and enforce organizational policies.
You will report to the Regional Accounting Manager, Africa.
WHAT YOU WILL DO:
- Support a portfolio of Accounting activities and projects including daily support and interaction with technical staff in the portfolio.
- Small contracts management including travel grant and non-donor agreements.
- Support the approval and payment process of advance requests, invoices and expenses for staff in the allocated portfolio.
- Perform accounting activities including the reviewing of invoices, payments, vouchers, and receipts for a set of activities.
- Support budget development, organizational, logistical and cash payment support for projects, workshops, events, meetings and trips.
- Support the procurement and inventory processes.
- Support to the contracting process for consultants and subgrantees.
- Train consultants and subgrantees on financial requirements and review their financial reports.
- Contribute to the annual planning and budgeting process.
Financial Management
- Record daily financial transactions in the accounting system.
- Review payment requests and process payments to suppliers and staff.
- Maintain proper filing of financial documents and receipts.
- Help prepare monthly financial reports.
- Responsible for monthly bank reconciliations and cash reconciliations.
- Ensure all expenditures follow organizational financial policies and donor requirements.
- Assist during internal and external audits by organizing financial documents.
- Assist program teams in monitoring project budgets.
- Track project expenditures against approved budgets.
- Be our contact to the tax authorities during periodic tax reviews and audits.
- Responsible for month end Balance sheet reconciliations.
- Responsible for monthly and annual tax returns i. PAYE, Withholding taxes etc.
- Monitor the cashflow of the office and ensure there are funds for operation.
Administrative & HR Support
- Manage office supplies and maintain stock levels.
- Support logistical arrangements for meetings, training, and workshops.
- Maintain proper filing systems for administrative and financial documents.
- Coordinate basic office administration activities.
- Support contextualization of employee policies and handbooks.
- Support monthly payroll preparation and ensure compliance with internal policies and local labour laws.
- Support sourcing of service providers for medical, life insurance and other benefits as applicable.
- Responsible for PAYE (Pay As You Earn) tax deductions submission to URA monthly and any in person follow up with URA if required.
- Support implementation of global payroll system.
WHAT YOU BRING:
- Bachelor’s degree in finance, accounting, business administration or related field; with additional packages (ACCA, CPA).
- 3+ years of experience in Finance and/or Administration.
- Proficiency in English.
- Ability to travel locally at least 10% of the time.
