General Position Summary
We're looking for a proactive and well-organized Human Resource and Administration Officer to assist in overseeing HR operations and handling daily administrative tasks within our organization. The perfect candidate will possess a solid grasp of HR procedures, exceptional organizational abilities, and the knack for fostering a positive and productive work atmosphere.
Essential Job Responsibilities
Recruitment and Onboarding:
- Assist in posting job vacancies, reviewing resumes, and scheduling interviews.
- Coordinate the onboarding process for new hires, including preparing paperwork, conducting orientations, and facilitating introductions.
- Work closely with the respective supervisors and hiring managers in recruitment processes & staff management
Employee Records and Documentation:
- Maintain accurate and up-to-date employee records, including Employment & Contracts, Personnel files, and performance evaluations.
- Ensure compliance with data protection and confidentiality policies.
HR Policies and Compliance:
- Assist in the development and implementation of HR policies, procedures, and guidelines.
- Help ensure compliance with labor laws, regulations, and company policies.
- Actively participate in disciplinary actions, hiring and termination meeting for all offices as necessary, advise staff on disciplinary procedures.
- Work closely with all ForAfrika staff to ensure smooth introduction and adoption of Staff handbook and Administration policy.
- Work with finance compliance to mitigate fraud, conflict of interest and legal ramifications of ForAfrika.
Payroll and Benefits Administration:
- Support payroll processing by verifying attendance, leaves, and other relevant data.
- Assist employees with inquiries related to benefits, leave balances, and other HR-related matters.
Training and Development:
- Coordinate training sessions, workshops, and professional development opportunities for employees.
- Maintain training records and track employee progress.
Employee Relations:
- Assist in resolving employee grievances, conflicts, and concerns.
- Maintain open lines of communication and foster a positive work environment.
Administrative Support:
- Assist in office management tasks, including coordinating meetings, managing calendars, and handling correspondence.
- Help maintain office supplies, equipment, and general cleanliness.
- Ensure smooth travel coordination and booking of accommodation
- Ensure all lease agreement are valid, extended on time and MC premises are maintained in good condition
- Support the program with all ForAfrika Administration arrangements.

Data Entry and Reporting:
- Enter HR-related data accurately into databases and systems.
- Generate regular and ad-hoc reports as needed.
Health and Safety:
- Assist in ensuring compliance with health and safety regulations.
- Contribute to creating a safe and healthy work environment.
Qualifications and Skills:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Proven experience as an HR Officer or in a related administrative role.
- Strong knowledge of HR practices, policies, and labor laws.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office Suite and HR software.
- Effective communication and interpersonal abilities.
- Detail-oriented and able to handle confidential information.
- Ability to work independently and as part of a team.
- Prior experience with payroll, benefits administration, and HRIS is a plus.
- Ability to work with minimal supervision under pressure and meet deadlines.
- Good reporting skills.
- Ability to work in a team.

The successful Human Resource and Administration Officer will have strong consultative skills, The Successful Human Resource and Administration Officer will combine exceptional management skills and experience in building and maintaining relationships. S/he will have an ability to think creatively about operationalizing and improving the Operations/HR functions. S/he will have proven experience with cross-cultural team and capacity building, individual staff development and strong mentoring skills. Multi-tasking, prioritizing, problem solving and simultaneous attention to detail as well as strategic vision are essential.
