About the role
The Associate Manager Admin. will act as an internal resource and liaison on communications and projects with the Country Director and Senior Management team. While this individual will report to the Country Director, the role will be under the shared support services in the administration department and he/she will support other members of the management team as and when required. Our ideal candidate has strong written and verbal communication skills and excels at prioritizing across a range of administrative and support functions.
This individual should display exceptional professional demeanor, integrity and discretion when handling confidential information and sensitive matters.
Key Functions:
• Provide administrative support to the Country Director and Senior Management including receiving and responding to correspondence, visitors, communication, enquiries, scheduling and maintaining calendar and appointments, and coordinating day-to-day public relations.
• Prepare the first draft of documents, letters and reports for the Country Director and other members of the Senior Management team.
• Edit and review correspondence sent to the Country Director and ensure that the necessary follow up action is taken.
• Prepare and analyze research and briefing papers in advance of appointments and presentations. Draft subsequent correspondence and follow up as necessary.
• Liaise with the Office and Procurement Manager and Administrative Assistant to ensure accommodation and travel for the Country Director and Senior Management is organized.
• Write minutes of the meetings and calls of the Country Director and management team when necessary.
• Follow up on invitations for the Country Director from partners and other external stakeholders, in coordination with the External Relations department.
• Maintain and manage the leave schedule, timesheets and expenses on behalf of the Country Director and Senior Managers.
• Undertake some logistics duties, including driving the Country Director and other Senior Management team members, as and when necessary.
• Oversee special projects and initiatives as assigned by the Country Director.
• Any other duties as assigned by the Country Director.
Required Qualifications, Skills and Competencies:
• A bachelor’s degree minimum educational qualification
• 3+ years work experience, preferably in a multi-executive support role
• Experience partnering well with senior leadership, internal and external stakeholders.
• Proficiency with Microsoft Office and Google Suite; Familiarity with Asana or other organisation tools is an added advantage.
• Superior oral and written communication skills in English; knowledge of other local languages is an added advantage.
• Proactive attitude and ability to take initiative and work independently.
• Discretion and ability to keep information confidential.
• Excellent team player with strong interpersonal skills, and outgoing personality.
• Ability to work independently and effectively under pressure and on strict deadlines and in a multicultural setting.
• Highly organised and dependable
• Strong aptitude for learning new software tools and systems
• Valid driver’s licence.
