Role Overview

As an Office Admin, you will play a crucial role in ensuring the smooth operation of our office in Katwe. You will work closely with a team of five and report directly to the Company Director. The ideal candidate will possess a leadership mindset, be customer-focused, and demonstrate innovative thinking in their approach to administrative tasks.

Position Details

  •  Employment Type: Full-time
  •  Location: Katwe
  •  Reporting Structure: Reports to Company Director
  •  Work Arrangement: On-site

Key Responsibilities

1. Perform payroll functions, including maintaining timekeeping information and processing payroll.

2. Operate office equipment (fax machines, copiers, phone systems) and arrange repairs as needed.

3. Set up and manage paper/electronic filing systems, ensuring accurate documentation and record-keeping.

4. Coordinate the flow of information using electronic mail systems.

5. Schedule and confirm appointments for clients, customers, or supervisors.

6. Compose and distribute meeting notes, routine correspondence, and reports.


Requirements

Essential Qualifications

  •  Education: A degree in Administration or related fields.
  •  Experience: 3-5 years of relevant experience.
  •  Certifications: A Certificate in HR management is preferred.
  •  Skills: Active Listening, Speaking, Writing, Time Management, Judgment and Decision Making.
  •  Knowledge Areas: Administrative, Computers and Electronics, Customer and Personal Service, Administration and Management.
  •  Required Technology Knowledge: Proficient in word processing, document management, human resources, project management, and CRM software.
  •  Language Proficiency: Must be fluent in English and Luganda.

Preferred Qualifications

While not mandatory, the following will be considered an added advantage: Additional skills and experience relevant to the role.
